As the Receptionist, you will be the first point of contact for our company, providing a professional and welcoming presence for visitors and team members. Your role includes managing all reception tasks, post handling, site access, security protocols, and maintaining accurate visitor documentation.
What You Will Do:
Provide a courteous and professional welcome to all visitors, ensuring a positive company image.
Efficiently handle incoming calls, offering information and directing calls as required.
Keep the reception area tidy and stocked with necessary items.
Manage reception duties, including correspondence and communication redirection.
Promptly sort and distribute mail and deliveries to team members.
Take charge of outgoing post with attention to timely dispatch and record accuracy and oversee maintenance of postal equipment and supply levels.
Control and monitor site access for visitors, delivery personnel, and team members, ensuring a secure environment.
Administer door access systems, CCTV, and intercoms with an appropriate level of administrative authority.
Implement sign-in procedures, issue visitor badges, and maintain visitor records per company policy.
Coordinate with security staff to uphold and enforce safety standards and procedures.
Offer directions or personally guide visitors within the premises.
Maintain accurate and confidential visitor logs.
What We Are Looking For:
Someone with previous experience in a receptionist or similar front-office role.
Proficiency with Microsoft Office Suite, office management software, and experience with Salesforce is considered advantageous.
Strong communication skills with a focus on delivering excellent customer service.
Ability to multitask and maintain organization in a fast-paced environment.
A warm, professional manner when interacting with individuals at all levels.
A representation of professionalism and a commitment to upholding the company’s image.
Capability to effectively engage with a diverse range of individuals.
Good attention to detail and a commitment to ensuring accuracy in all work processes.
Flexibility and problem-solving abilities, with an initiative-driven approach to unexpected challenges.
Required GCSEs in English and Maths or equivalent.
Business administration or relevant field qualifications are preferred.
Physical Requirements/Working Conditions:
Requirement to remain stationary for prolonged periods. Occasional need to lift or shift items weighing up to 10kg.
Work Environment:
The role is based within the company’s office environment.
The position involves standard working hours, with some overtime when necessary to meet business needs.
